Established by the British over 110 years ago, Ahmednagar Club Limited is a historic institution spread across 9 acres of prime land overlooking the iconic Ahmednagar Fort. This prestigious club holds immense historical significance - it was here that Pt. Jawaharlal Nehru and other freedom fighters were held captive, and where Nehru penned his famous book “Discovery of India.”
Strategically located in the heart of Maharashtra, the club is surrounded by spiritual destinations including Avtar Meher Baba Samadhi (3 km), Shani Shinganapur (40 km), Shri Mohata Devi Mandir (64 km), and the famous Shirdi Sai Baba temple (80 km).
Despite its rich heritage and prime location, the club was struggling with severely outdated Excel-based management systems that were crippling daily operations. There was no systematic amenity booking process, leading to frequent double bookings and scheduling conflicts. Staff had no visibility of amenity occupancy in real-time and relied on manual coordination through phone calls and paper registers.
Membership management was an even bigger nightmare. The club couldn’t track membership expiration dates effectively, resulting in expired memberships going unnoticed and lost revenue. Manual follow-ups for renewals were time-consuming and often missed. Managing family memberships versus individual memberships was particularly challenging, with multiple Excel sheets creating confusion and errors.

Each amenity can be configured independently with custom capacity limits, operating hours, and availability rules. The intelligent slot management prevents conflicts automatically, displays real-time availability, and manages buffer times between bookings.
We implemented dual booking categories - member bookings at special rates and family bookings with different pricing structures. The advanced pricing engine dynamically calculates charges based on member type, time slots (peak vs off-peak), day of week, season, and special occasions. Tax and service charges are integrated automatically, with the system providing instant booking confirmations via email and WhatsApp.

The membership portal handles the complete member lifecycle from registration to renewal. It maintains detailed member profiles including individual and family membership types, multiple family members under one account, document management, and emergency contact information. The system supports membership tiers like Gold, Silver, and Platinum with different privileges.
The automated renewal system is a game-changer. It tracks membership expiration dates and sends automated WhatsApp reminders at 30 days, 15 days, 5 days, and on the expiration day itself. The grace period management ensures no revenue is lost, while the one-click renewal process makes it easy for members to continue their membership.

The system captures payments across multiple modes including cash, card, UPI, and bank transfer, maintaining a complete payment history for each member. It automatically tracks due dates and calculates outstanding amounts with late fees. The aging analysis of pending payments helps the club follow up systematically with payment reminder escalation.

The financial module provides complete visibility into club finances. It tracks revenue per booking, analyzes profitability by amenity, and splits revenue between members and non-members. The expense management system tracks staff salaries, maintenance costs, utilities, and vendor payments with proper receipt and invoice management.

The dashboard provides real-time metrics including today’s bookings, active memberships, pending dues, daily revenue, and occupancy rates.
